• The REPLY ALL option. Think twice before using it. Experts say consider who REALLY needs to hear your response, and respond only to THOSE people. For a company that has 1000 employees, this alone could reduce 5,700 emails every day. • The ONE-LINERS. Be careful about using emails to say only “Thank you,” or “OK.” One word emails are no better than spam and if you’re sending one that people might be tempted to respond to with one of these short answers, put “No reply necessary” at the top. • Fill in the SUBJECT LINE! Find the main point of your email and state it. No one wants to read through extraneous paragraphs trying to get to the heart of your message. So be clear right off the bat. • Don’t ABBREVIATE! Professionals should avoid using text-message style shortcuts, such as the number “4” for the word “for,” or G-R and the number “8” for the word “great.” Legitimate workplace abbreviations are OK, such as EOD for “end of day” – but anything that looks like your teenager typed it to their best friend - is unacceptable. • Avoid ADDRESS ABUSE. Not everyone wants their name and information available to the world. So when you forward a message, delete the email addresses that were in the original message. It’s basic courtesy."
